The decorators, photographers and videographers are like the equal and opposite forces that Newton warned you about. Unless you have their full co-operation your betrothal can become a battlefield; your wedding can become a war zone. Nope. We are not trying to scare you into hiring a wedding planner. If you’ve hired experienced professional vendors then your job is already 90% done. You only have to give a small pull here, and a tiny push there, from time to time. These little things can go a long way to ensure that your wedding army is always there to back you up and not disputing behind your back!
1.Go out on a date
A friendly date between the Photography/Videography and the Decorator teams can be a blessing in the long run. These guys are usually jam-packed with their schedules. So try to arrange a pre-wedding meeting (even a video call would do) at least one month before the D-day. Let it be a few hours of casual conversation regarding your pre-wedding planning. Trust me, you’ll be thanking your Gods for arranging this pre-nup meeting because you will be able to avoid the iceberg of collisions on your big day! No more last minute adjustments. No more friction between the teams. Only happy sailing 🙂
2.Move over, I’m the Space Lord!
You have meticulously arranged the stage decor, custom flooring, delicate stage trimmings, designer art installations and artistic decor lighting. But your photographer has other ideas. He wants to move the sculpture over to that corner, so that he can get the right angles. The videographer wants to remove the designer carpets to run his wires and then doesn’t know how to put it back the way it was. Or, he wants to set up the LED display exactly where it’s most inconvenient. Meanwhile, the decorator and photographer are losing it at the stage frontier, where the photographer has just demanded a table for himself and his tripod. Sigh. Scary, isn’t it? Wedding decorators and videographers are constantly at loggerheads for space. But this can be easily sorted out and planned to perfection if it’s done before the wedding instead of right in the middle of the wedding!
3.Stealing your Thunder
Ah! The photographer’s boon and the decorator’s bane. Umbrella lights are a huge part of photography lights. Also, they are LITERALLY HUGE UMBRELLA things that block out your audience’s vision. After stretching and doing complicated yoga from their seats, your wedding guests will give up trying to see what’s happening on the stage. Umbrella lights are supposed to highlight the bride and groom but they end up doing the opposite most of the time. Tut tut tut… A clever hack would be to ask your decorators and photographers to mount these umbrella lights on the trusses that hold the decor lights. Simple, convenient and hassle-free!
Most of the times, decorators and videographers have their separate resources. But some resources like the power cables, gensets, wires and sockets are common to both teams. And like the fight over the remote control, this tug-of-war is eternal! This ‘power struggle’ can cause havoc on your wedding if it doesn’t fizzle-down immediately. Avoid short circuits and electrical shortages by managing the resources smartly. Make fire safety your priority. Encourage both your vendors to spend a couple of minutes conveying their needs and resource availabilities to the other team. Surely all of them can reach an amicable agreement before the event starts. Because sharing is caring, right?
5.Watch my Ninja moves
You’ve taken your leap of faith and now it’s your photographer’s turn. Hold on…we meant literally the leaps and dives that he/she will be busting out for your candid pictures. Photographers are extremely agile and have the ability to skillfully bend their bodies for their prized candid photography. But, in their hurry, they might not watch where they’re stepping, stomping or scooting. Certain delicate stage trimmings and flooring designs can be tricky to manoeuvre around, making it a landmine situation for even the expert lens-person. You can help out these ninjas by guiding them to your decorator’s event manager. Together they can figure out their movement tactics and throw in some practice laps by the time you are ready to pose and smile for your pics.
The band-baja-weddings fraternity has lots of vendors and lots of such brawls. It’s ironic because as vendors we are codependent. Especially the guys behind the lens and the guys behind the scenes, who must have great chemistry between them to pull off flawless weddings. Great decor equals awesome photo ops.
